A document goes through three fixed roles before it is uploaded to the project library. The document creator sends it to the subject matter expert, who checks the content. It then goes to the project or quality manager for final approval. Each transition is logged with the time and name.
You decide on a project-by-project basis who plays which roles and whether the three steps occur sequentially or concurrently.
What is NORSOK-compliant document numbering?
The NORSOK standard requires that each document has a unique ID that follows a fixed pattern, preferably based on project code, discipline, document type, and serial number. Premium automatically generates this ID when a document is created, ensuring that no two documents have the same number, and each number indicates what the document is.
The pattern is set up per project, so it can be adapted to your own customer requirements beyond NORSOK as well.
Can we retrieve a previous version of a document?
Yes. Every time a document is changed, the previous version is saved with a date, user, and a brief comment about what was changed. You can retrieve any previous version, compare it to the current one, or send the entire version history to an auditor as a documented trail.
The versions do not take up extra space in the project library. They are stored together under the document and are only visible to those with revision access.

To ensure document quality and accuracy, Document Management Premium includes a 3-step approval process. This means documents go through a structured review and approval by multiple team members before being published in a dedicated Approved Documents Library.

Every document has a full version and revision history, allowing you to retrieve previous versions whenever needed. This ensures you always have the latest updated version while maintaining flexibility to access older versions if necessary.

It can, but it doesn't have to. Business Online is on Microsoft 365 and can import documents from SharePoint libraries you already use. The difference is that Document Management Premium adds project structure, NORSOK numbering, approval roles and audit log, which SharePoint does not provide out of the box.
The setup is done together with a consultant from Business Online. Once the templates and project types are in place, it usually takes one to two hours of training. Those who will only be creating and finding documents on a daily basis usually need 30 minutes.
Yes. Both the ID pattern and who is involved in the approval are set per project. If a customer requires a completely separate document structure, you can create a project template that covers exactly that.
You own your own data. If the agreement is terminated, you will still have your entire document library with version history and the information contained within each document available.
The module is built around NORSOK, which has stricter requirements for document structure than ISO 9001 has for document management. The same structure fits well into ISO 9001 audits.
