The challenge
Supplier qualification requires a solid quality management system
In 2023, the industry organization Offshore Norge took an important step: consolidating the operator-preferred qualification system, Magnet JQS, along with its associated audit schemes, into a dedicated subsidiary—Offshore Qualific.
Supplier qualification is critical for Offshore Norge’s member companies. This work demands that Offshore Qualific has a reliable system to document and visualize its own processes.
As a newly established company with only four employees, Offshore Qualific saw an opportunity to implement a quality management system that matched their size in the early phase—and that could scale with them as they grew.
“We had documents for procedures and process descriptions stored in a folder structure,” says Elisabeth Aaserød, HSE and Audit Advisor in Offshore Qualific. “But we needed a system where we could keep everything in one place—a user-friendly workspace for documents that would help us achieve the structure and systematic approach we want to work with.”

Most team members at Offshore Qualific had prior experience working with HSE and quality, giving them a solid understanding of the quality systems available on the market.
“We saw that Business Online was the quality system that best fit our needs.”
Aaserød explains:
“As a new company, it was really helpful for us to have a system built into Microsoft 365, since we were already using it. And just as important—it gave us all the modules we needed in one place.”
It was also essential for Offshore Qualific to invest in a system that would support the company’s growth over time.
Implementation
An implementation process that leaves room for day-to-day work
For many companies, implementing a new IT system can feel overwhelming. One common concern is: How will we manage to learn the new system while keeping up with all our other tasks?
The implementation process—and the changes it brings—can place significant pressure on an organization during the transition. That’s why it was reassuring for Aaserød that Business Online has developed an implementation model that takes this into account.
“The implementation was designed so we didn’t have to set everything else aside. We’re a newly established company, and we had a lot of other work to do. So it was really helpful that we could go through the implementation process alongside our other responsibilities.”
She explains that the process was broken into phases, and they received “homework” assignments between sessions.
“That worked really well in a busy workday and gave us a good sense of how the system actually functions.”
Strong and consistent support throughout the process
When you begin implementing Business Online, you’re assigned a dedicated project manager who serves as your guide and support through every step of the process.
“We found Aleksander [Fosshagen Hald, Senior System Consultant at Business Online] to be incredibly available. We added him to our Teams chat. Anytime we had a question, he replied within minutes. Kudos to Aleksander!”
Aaserød adds:
“Even now, long after the implementation phase, Business Online is still easy to get help from. If I need assistance with anything in the system, I just send Aleksander a message—and I get a quick response.”
The Results
Efficient internal control—all in one platform
For a company like Offshore Qualific—which performs audits to ensure other companies operate in compliance with various standards—it’s absolutely essential to have a strong quality system for internal control and HSE documentation.
That’s why the very first thing Offshore Qualific did after implementing Business Online was to establish their internal control framework.
“We used the project module for that, and it’s been really valuable for us to have one place and one project to log and carry out internal control.”
Easier to work systematically and with structure
Business Online doesn’t necessarily change how companies work—it simply brings structure to the way they work, making it easier to follow processes and procedures. It helps users understand how tasks should be performed, while automatically documenting what’s done along the way.
“The system makes it easier to find a systematic way of working,” Aaserød explains. “That ensures critical tasks and processes are done correctly.”
Offshore Qualific operates its own supplier qualification portal, Magnet JQS, used by 1,600 suppliers and all operators in the energy industry. By managing supplier information and risk in the supply chain, Magnet JQS contributes to efficient procurement processes in line with EU regulations.
“Around Magnet JQS, we run several different audit schemes,” Aaserød explains. “Each year, we carry out around 250 audits of management systems. So of course, it’s essential that we have a strong business management system ourselves!”
A valuable tool for achieving ISO certification
At the core of Business Online lies its Business Process Management (BPM) functionality. BPM allows companies to create a visual representation of their functions and processes—helping ensure and document compliance with procedures, routines, and guidelines.
With BPM in Business Online, Offshore Qualific not only has a clear visualization and documentation of how they work—they also have the ability to demonstrate that they actually do work according to those processes. This is a key step on the path toward ISO certification.
“We use BPM to visualize our processes. We aim to certify in ISO 9001, 14001, 45001, and 27001. So that’s part of our thinking when working in Business Online—we need to get those certifications in place. We’re not quite there yet, but we’re well on our way.”
