The company handles, treats, and recycles contaminated water (slop) and drill cuttings. Employees across multiple locations require strong information flow
The Stavanger-based company Soiltech had long been using the management system from iQubeS (now Business Online). In 2020, iQubeS launched a new cloud-based management system designed for project-based companies, naming it Business Online.
As part of Soiltech’s continued growth strategy, the company decided to make a technological leap and upgraded to the new Business Online system. The new platform gave them more flexibility and greater autonomy to make system changes on their own, explains Else-Karin Vådeland, VP HSSEQ & Sustainability at Soiltech.
Soiltech began the implementation project shortly before Vådeland joined the company, following a long career with a major oil service provider. She then took on the role of internal system owner.
“I’ve worked in HSEQ for over fifteen years and came from a company where I’ve experienced the challenges of communication and collaboration firsthand.”
Vådeland elaborates:
“The challenges were often due to the fact that there wasn’t just one system. HR, HSEQ, and Operations would all sit in their own separate databases—and those systems didn’t talk to each other.”
In an industry like Soiltech’s—where competitive advantages are often marginal—maintaining tight control over information flow is essential.
One system that brings all departments together
Soiltech has found that the key to effective collaboration lies in having a single system where all departments and disciplines are brought together.
“Now all functions are included in Business Online, so everything is set up for communication and sharing. It’s just a generally easier way to work.”
At the same time, it was crucial for Soiltech to maintain control over the flow of information—both between different locations and for offshore personnel.
Equally important was defining which information should be accessible to everyone in the system, and which should remain restricted. That made strong access control a top priority in their system requirements.
"“I feel confident that we’ve maintained confidentiality where needed. You can lock down what you need to, and open up access where it’s appropriate,” says Vådeland.
Better overview in the workday
As a leader, you need both a high-level overview and the ability to dive into the details. So we asked Else-Karin Vådeland what she noticed first when she started working in Business Online:
“I have a much better overview. It’s easy to find things because the structure is solid. I’m a ‘checklist person’ by nature, so I like things to be organized. I like standardization—and that’s exactly what this system offers.”
Soiltech operates on a project-based model and makes frequent use of the custom quality checklist feature in Business Online. Vådeland explains that this approach to quality control was new to her, as the management systems she had used in the past weren’t as well suited for project-based work as Business Online is.
Vådeland says:
“I find it easy and enjoyable to work in Business Online, and I like that there are always possibilities. It’s easy to tailor the system to our needs, which gives us flexibility.”
Improved internal collaboration
In the past, when the management team needed to collaborate on a shared presentation—such as one intended for the board—it often led to a flurry of emails and multiple versions of the same document. Now, the team can simply create a dedicated project space in Business Online, where everyone can work on the document simultaneously.
Vådeland elaborates:
“We save time because we’re updating the document live. It’s a small thing, but it really makes our workday much easier.”
For a system to truly support an entire organization, it must be easy for everyone to use. When we asked Vådeland what she sees as the greatest value of working in Business Online, she replied:
“I find it easy and enjoyable to work in Business Online, and I like that there are always possibilities.”
She adds:
“It’s user-friendly, easy to collaborate in, and well-organized.”
