Growth created an immediate need for better structure
When the three founders of NovuMare started the company in 2017, they set up a folder structure in SharePoint to manage procedures, processes, and general documentation. But as the company grew and more employees came on board, it became increasingly difficult to maintain a clear internal overview.
Information was being stored in multiple places—both in SharePoint and locally on individual computers. This slowed down the flow of information and made administrative processes heavier and more time-consuming.
In the early days, when NovuMare consisted of just three employees, the need for a centralized place for information wasn’t as apparent. But that changed quickly as the company began hiring more staff.
“As soon as we started hiring, we saw it right away—we needed a tool that could gather data in one place,” says Rune Holmen, QA Manager at NovuMare. “It was the flow of information, the need for documentation, and the demand for more efficient administrative processes that triggered our need for an IT solution.” says Rune Holmen.
Growth often creates challenges for both management and employees, especially when there’s a lot to handle at once. In a company like NovuMare—where staff are frequently out on different assignments and locations—it’s particularly important to have easy, reliable access to information.
Brought in external help to find the right solution
For NovuMare, it was essential to have a cloud-based system that could be accessed across all platforms—especially since their teams often work in the field while on assignment for clients. With customers both domestically and internationally, the company needed a system that could handle internal information flow seamlessly.
“The core requirement was that the system had to be cloud-based and available on all digital platforms. It had to be so simple to use that you almost wouldn’t need training, and it needed to help us ensure compliance with the procedures and processes we wanted to implement,” Rune explains.
NovuMare also wanted to consolidate everything into one system, rather than relying on multiple standalone tools that didn’t communicate with each other. They had tried to achieve this through a structured folder system, but as the company grew, it became clear they didn’t have the control they needed.
